Snowbird Advisor Insurance, a division of Snowbird Advisor Insurance Inc. (“We”, “Us”, “Our”, "Company") knows how important your personal information is to you, and we take protecting its privacy and confidentiality very seriously. This Privacy Policy governs the collection, use and disclosure of your personal information, whether written or electronic, by us, our affiliates, sub-contractors, subsidiaries and parent companies in the course of arranging travel and other types of insurance.

We may amend and update this Privacy Policy from time to time. The most current version of our Privacy Policy will be posted on our website here. You should periodically check our website for any changes to our Privacy Policy.

Personal Information

Personal information means information about an identifiable individual. Personal information does not include the name, title, business address, email address or telephone number of an employee of an organization where that information is used to communicate with the employee about their employment, and it does not include aggregated information that is anonymized so that information cannot be associated with a specific person.

This Privacy Policy applies to the personal information of our clients or potential clients from who we collect personal information, whether directly or indirectly. It does not apply to information about our employees or to information that is not personal information.

Collection, Use and Disclosure of Personal Information:

The personal information we collect includes, but is not limited to, contact information, date of birth, medical information, financial information, payment information and travel information. Some of this information is sensitive personal information. We may also collect personal information about other people who are travelling with you or on whose behalf you are purchasing insurance products and services.

We collect, use and disclose your personal information for insurance purposes, including arranging for travel, home, auto, RV and other types of insurance products and providing you with related and ongoing services. We also collect your personal information to confirm your eligibility for such insurance products and services, to better understand and communicate with you about your insurance needs, to facilitate claims assistance and to process payments. We identify the purposes for which personal information is collected at or before the time the information is collected. We limit the collection of personal information to that which is necessary for the purposes identified by us. Unless required by law, we will not use or disclose, for any new purpose, personal information that has been collected without first identifying the new purpose and obtaining your consent.

In most cases, we collect personal information directly from you. However, we may also collect personal information from our sub-brokers or partner brokers, including but not limited to CanAm Special Risk Insurance Agency (2018) Limited (CanAm) and Canadian Insurance Alliance (2018) Inc. ("CIA"), or from other sources.

We may collect personal information from you about other people who are travelling with you or on whose behalf you are purchasing insurance. By providing that information to us, you confirm that you have the consent of those other people to the collection, use and disclosure of their personal information as outlined in this Privacy Policy.

We also use your personal information to develop and enhance our products and services and to satisfy our legal and regulatory requirements. We may share your personal information with third party service providers who perform sales, support, administration, claims management and assistance and other services on our behalf, and they may share your personal information with us.

We disclose your personal information to the insurers who provide insurance through us in order to arrange for your coverage and assist with claims. When we disclose your personal information to an insurer, that personal information is subject to the personal information policies and practices of that insurer.

We may also disclose your personal information to our parent, subsidiaries and affiliate companies to assist us in arranging travel, home, auto RV and other types of insurance.

We may also disclose your personal information in connection with an actual or prospective business transaction, including a sale of the Company or a corporate reorganization, provided that the personal information we disclose may only be used by the other party to evaluate the possible transaction, or, on completion of any such transaction, for the purposes permitted by this Privacy Policy.

Obtaining Consent

We will only collect, use and disclose your personal information with your consent, unless otherwise permitted by law.

Your consent may be express or, in certain conditions, implied (for example, if you request a service and then provide the personal information necessary for that service). In determining the appropriate form of consent, we will take into account the sensitivity of the personal information and your reasonable expectations. Your consent may be provided directly to us by you, or given through an authorized representative or to a third party acting on our behalf, such as CanAm or CIA, to be provided to us.

You may withdraw your consent at any time by giving us reasonable notice, subject to legal and contractual requirements. However, if you withdraw your consent we may be unable to continue to provide insurance services to you. You may contact us for more information regarding the implications of withdrawing consent.

Optional Marketing Purposes

We may use the personal information you provide to communicate with you to offer you other products and services. The collection, use and disclosure of your personal information for such marketing purposes is optional, and is not required as a condition for doing business with us. You may withdraw your consent to these optional uses at any time by contacting us here. We do not sell, trade or disclose our customer lists for marketing purposes.

Security

We are responsible for the security of personal information in our possession or control, including information that has been transferred to a third party for processing. We will protect your personal information against such risks as loss or theft, unauthorized access, disclosure, copying, use, modification or destruction by security safeguards appropriate to the sensitivity of the information. Such controls include physical, technological and organizational safeguards.

We use contractual agreements and other appropriate means to ensure a comparable level of protection while information is being processed by a third party. Only our employees and contractors who require access for business reasons, or whose duties reasonably require, are granted access to your personal information, and they are required to respect the confidentiality of personal information.

We, our outside suppliers and other third parties to whom we disclose personal information, may perform activities outside of Canada. As a result, your information may be securely used, stored or accessed in other countries and may be subject to the laws of those countries. For example, information may be disclosed in response to valid demands or requests from government authorities, courts, or law enforcement officials in these countries.

We keep personal information only as long as it remains necessary for the identified purposes or as required by law. Depending on the circumstances, where personal information has been used to make a decision about you, we shall retain, for a period of time that is reasonably sufficient to allow for access by you, either the actual information or the rationale for making the decision.

When personal information is no longer necessary, we destroy or anonymize such information. In view of the ongoing exposure to potential insurance claims, where necessary, some of the personal information collected for insurance purposes may be kept indefinitely.

Accuracy

We try to ensure and maintain the accuracy of the personal information we collect and use. However, we rely on individuals who provide personal information to us to disclose material information to us and advise us of any changes. Where individuals provide evidence that personal information we hold is incorrect, we will correct such information.

Access to Personal Information

You may request to be informed of the existence, use and disclosure of your personal information and, where reasonably possible, the source of the information. Subject to satisfactory proof of identity, appropriate access will be provided to such information.

In certain situations, we may not be legally permitted to provide access to all personal information held with respect to you. For example, we cannot provide access to personal information relating to other people or personal information protected by legal privilege. Exceptions to the access requirement will be limited and specific, and we will provide you with the reason for denying access.

You may challenge the accuracy and completeness of the personal information we hold about you.  We shall promptly correct any personal information found to be inaccurate, and we will note any unresolved differences as to accuracy in your file. Where appropriate, we will send any amended personal information or the existence of any unresolved differences to third parties having access to the personal Information in question.

Our Privacy Policy applies to personal information collected, used or disclosed through our website.
